Solution

Imaging Associates partnered with Foxo to roll out a centralised, real-time communication platform that would unify clinical and operational workflows. With the support of Foxo’s Customer Success team, the organisation implemented a phased rollout with a strong focus on change management, internal self-organisation and clinician buy-in. 

Phase 1 – Internal Communication Rollout & Launch
Phase 1 was delivered in just three weeks, starting with internal communication across all departments and sites using Active Directory for Single-Sign-On for frictionless access for all staff. 

A key factor in the success of this phase was early change management, particularly defining and communicating the “why.” As Glen Dean, IA’s Operations Manager, emphasised - adoption starts with a shared vision. For Imaging Associates, the driver was clear: improving compliance, strengthening cybersecurity, and replacing fragmented, non-compliant tools with patient-centric communication. Framing the rollout around these goals created urgency, alignment, and strong buy-in across clinical and operational teams.

Foxo’s Product Champion model empowered internal advocates to guide their teams, supported closely by Foxo through onboarding webinars, weekly alignment calls, and post-go-live support. Importantly, the early phase allowed for flexibility and self-organisation - teams were encouraged to create and refine their own threads organically before any formal structure was applied. This approach fostered ownership, creativity, and a natural evolution of communication norms.

The rollout culminated in a high-energy go-live that embraced Foxo’s “Launch Loudly” principle. QR codes were placed around the clinics to promote mobile downloads, and themed launch activities - including team competitions and small giveaways - created excitement and visibility across the organisation. These cultural activities helped staff engage with Foxo not just as a tool, but as part of a broader shift in how IA communicates.

Phase 2 – Integration with Promed RIS
Building on strong internal adoption, IA then expanded Foxo into their clinical workflow by integrating it with the Promed RIS system. This integration enabled staff to launch secure case communication directly from RIS with just a couple of clicks - streamlining interactions between radiologists, technicians, and admin staff. Communication became faster, more contextual, and fully embedded in IA’s day-to-day operations.
